Terms of Service

These Terms of Service (“Terms”) govern your access to and use of the Vetpages website, onboarding flow, and application (collectively, the “Service”) provided by Vetpages (“Vetpages”, “we”, “us”). By subscribing to or using the Service, you agree to these Terms.

1. The Service

Vetpages is cloud-based practice management software for veterinary clinics and hospitals, including tools for appointments, patient records, invoicing, reminders, digital prescriptions, and a client app. Features may evolve over time as we improve the Service.

2. Accounts & Eligibility

You must provide accurate details during onboarding, including a valid email and phone number, and complete email verification. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.

3. Subscriptions & Users

The minimum package includes all core features for a single user. Additional users may be added at the applicable per-user rate.
Subscriptions may be taken on a monthly or annual (12-month) basis.
Larger practices with multiple branches may request a custom quote.

4. Fees, Setup & Payment

Kenyan clients are billed in Kenyan Shillings (KES). International clients are billed in US Dollars (USD).
For payment, USD amounts are converted to KES at the exchange rate stated on your invoice at the time it is issued.
A one-time online setup & training fee applies to subscriptions of less than 12 months. This fee is waived for annual (12-month) subscriptions.
Annual subscribers may apply for a 3-installment payment plan where offered.
Payments may be made via M-Pesa (Paybill or Send Money), Airtel Money, or card via Paystack. Your subscription is activated once payment is confirmed.

5. Invoices

Each subscription generates an invoice with a unique number. Invoices are available for download as a PDF and are emailed to you. Please use your invoice number as the payment reference (and, for M-Pesa Paybill, as the account number) so we can match your payment.

6. Renewals & Cancellation

Subscriptions continue for their chosen term. You may cancel by contacting us before your next renewal. Except where required by law, fees already paid are non-refundable. We may suspend or terminate access for non-payment or breach of these Terms.

7. Your Data & Responsibilities

You retain ownership of the clinic and client data you enter into the Service. You are responsible for the accuracy and lawfulness of that data and for obtaining any necessary consents from your clients. Our handling of personal data is described in our Privacy Policy.

8. Acceptable Use

You agree not to misuse the Service, including by attempting to disrupt it, gain unauthorised access, reverse-engineer it, or use it for any unlawful purpose.

9. Availability & Support

We aim to provide a reliable, high-availability Service and customer support. However, the Service is provided on an “as available” basis, and occasional maintenance or interruptions may occur.

10. Intellectual Property

The Service, including its software, design, and branding, is owned by Vetpages and protected by applicable laws. These Terms do not grant you any rights in our intellectual property except the limited right to use the Service as intended.

11. Limitation of Liability

To the maximum extent permitted by law, Vetpages will not be liable for any indirect, incidental, or consequential damages, or for loss of profits or data, arising from your use of the Service. Our total liability for any claim is limited to the amount you paid for the Service in the twelve months preceding the claim.

12. Governing Law

These Terms are governed by the laws of the Republic of Kenya, and any disputes are subject to the exclusive jurisdiction of the courts of Kenya.

13. Changes to These Terms

We may update these Terms from time to time. When we do, we will revise the “Last updated” date above. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
