Vetpages (“Vetpages”, “we”, “us”, or “our”) provides cloud-based practice management software for veterinary clinics and hospitals. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website, our onboarding and checkout flow, and the Vetpages application.

1. Information We Collect

We collect information you provide directly and information generated as you use our services:

Account & onboarding details: clinic or hospital name, your name, email address, phone number, and country.
Subscription details: chosen package, number of users, subscription term (monthly or annual), and payment plan.
Payment information: invoice records, amounts, currency, and payment references. Card payments are processed by our payment partner (Paystack); we do not store full card numbers on our servers.
Verification data: one-time passcodes (OTPs) sent to your email to confirm ownership of your address.
Clinic operational data: where you use the Vetpages application, this may include appointments, patient (animal) records, client contacts, invoices, and prescriptions that you enter.
Technical data: log data and basic device/browser information used to keep the service secure and reliable.

2. How We Use Your Information

To create and manage your account and subscription.
To verify your email address and secure your account.
To generate invoices and process and confirm payments.
To provide, customise, and support your clinic setup.
To send transactional messages (verification codes, invoices, payment confirmations, and service notices).
To improve the reliability, security, and performance of our services.
To comply with legal and regulatory obligations.

3. Payment Processing

Depending on your location, payments may be made via M-Pesa (Paybill or Send Money), Airtel Money, or card through Paystack. When you pay by card, you are directed to Paystack’s secure checkout and your card details are handled by Paystack under their own terms and privacy policy. We receive confirmation of payment and the associated invoice reference, not your card details.

4. How We Share Information

We do not sell your personal information. We share it only with:

Service providers who help us operate — for example our email provider and our payment processor (Paystack) — strictly to perform services on our behalf.
Legal authorities where required by law, regulation, or valid legal process.
A successor entity in connection with a merger, acquisition, or sale of assets, subject to this Policy.

5. Data Retention

We keep your information for as long as your account is active and as needed to provide the service, meet legal and accounting obligations, resolve disputes, and enforce our agreements. You may request deletion of your account data as described below.

6. Data Security

We use reasonable technical and organisational measures to protect your information, including access controls, encrypted connections, and session-based authentication for administrative access. No method of transmission or storage is completely secure, but we work to protect your data and continually improve our safeguards.

7. Your Rights & Choices

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and you may object to or restrict certain processing. To exercise any of these rights, contact us using the details below. We will respond within a reasonable time.

8. Children

Our services are intended for veterinary businesses and professionals and are not directed to children. We do not knowingly collect personal data from children.

9. International Users

Vetpages is operated from Kenya. If you access our services from outside Kenya, you understand your information may be processed in Kenya and other locations where we or our providers operate.

10. Changes to This Policy

We may update this Policy from time to time. When we do, we will revise the “Last updated” date above. Significant changes will be communicated where appropriate.
